Trial Balance

Trial Balance is a list of all the general ledger accounts with corresponding char of account codes and summary of all debits and credits of these general ledger accounts for a given time period.

Purpose

The Trial Balance Report in AccuBooks Plus provides a real-time summary of all ledger accounts and their respective balances (debit or credit) for a specified period. Its primary purpose is to ensure that total debits equal total credits, verifying the mathematical accuracy of the system's double-entry bookkeeping. This report serves as the foundation for generating other critical financial statements, such as the Income Statement and Balance Sheet, and helps internal teams and auditors quickly detect accounting discrepancies.


Key Features and Fields

  • Account Code: The unique numerical identifier assigned to each account in your Chart of Accounts.
  • Account Name: The descriptive name of the ledger account (e.g., Cash On Hand, Accounts Receivable, Inventory).
  • Debit / Credit: The ending balance of each account for the selected period. Total debits must always match total credits at the bottom of the page to indicate a balanced ledger.
  • Drill-Down Capability: Clickable ledger amounts that allow you to dive deeper into the transaction history of any specific account.

Step-by-Step Guide: How to Generate and Use the Report

Step 1: Navigate to the Report

  • Log in to your AccuBooks Plus account.
  • On the left-hand sidebar menu, locate the REPORTS section.
  • Click on Trial Balance from the dropdown options to open the report dashboard.

Step 2: Configure the Date Range

  • Locate the date picker fields at the top right of the report panel.
  • Enter or select your desired start date in the first date field (e.g., 01 / 01 / 2025).
  • Enter or select your desired end date in the second date field (e.g., 06 / 19 / 2026).
  • Click the Go button to refresh and load the relevant financial data.

Step 3: Apply Advanced Filters (Optional)

  • Comparison Filter: Use the No Comparison dropdown menu if you wish to contrast your current numbers against historical data periods.
  • Responsibility Center Filter: Click the Filter by R.C. button to filter the trial balance by specific departments, branches, or cost centers within your organization.

Step 4: Audit and Review Balances

  • Scroll through the list to review the account classifications (Assets, Liabilities, Equity, Revenue, and Expenses).
  • To investigate a specific figure, click directly on any highlighted amount under the Debit or Credit column. This will automatically redirect you to that specific account's detailed ledger entries.
  • Scroll to the very bottom to verify that the total Debit and Credit sums match perfectly.

Step 5: Exporting the Data

  • If you need to share this report or perform external analysis, click the Export button located at the top right corner.
  • Select your preferred download file format from the dropdown menu to save the report to your local device.
