The Cash Receipts Journal Report in AccuBooks Plus provides a comprehensive, chronological record of all cash, check, and direct collection transactions received by the business within a specified date range. This report is essential for monitoring cash inflows, tracking customer payments, and ensuring all collections match bank records.
Purpose of the Report
The primary objective of the Direct Collections Journal is to maintain financial transparency and accountability for real-time collections.
- Audit Trail: It creates an unalterable chronological record of every collection event, making it easier to trace discrepancies back to specific dates, customers, or collection agents.
- Cash Flow Monitoring: Provides management with immediate visibility into daily cash inflows from direct channels.
- Reconciliation Support: Acts as the sub-ledger used to match physical money or digital slips collected against actual bank deposits and customer invoices.
- Internal Controls: Reduces the risk of fraud or manual errors by separating the collection log from the final bank reconciliation process.
Report Fields Breakdown
• Sequence Number (#): The line item tracking number.
• Cash Receipts No: The unique system-generated tracking number for the receipt (e.g., CR321).
• Customer: The name of the client or individual making the payment.
• Category: The classification category associated with the receipt, if applicable.
• Mode: The collection method used (e.g., C for Cash, DC for Direct Collection).
• Doc Ref: Associated document numbers, such as Sales Invoices (SI23045) or progress billing milestones.
• Collections Date: The official date the payment was received by the business.
• Total Amount: The gross amount before any deductions or tax calculations.
• Discount: Any promotional or early-payment discounts applied to the transaction.
• WHT: Withholding Tax deducted by the customer, if applicable.
• VAT: Value-Added Tax component calculated from the transaction.
• Amount Due: The final net cash amount received.
Step-by-Step Guide to Using the Report
Step 1: Navigate to the Report 1. Open the left-hand main sidebar navigation menu. 2. Click on REPORTS to expand the section. 3. Select Receipts & Disbursements to open its dropdown options. 4. Click on Cash Receipts Journal.
Step 2: Filter by Date Range
1. Locate the date fields situated at the top of the report page.
2. Select or type your desired start date (e.g., 01 / 01 / 2026) and end date (e.g., 12 / 31 / 2026).
3. Click the Go button to refresh and generate the filtered ledger.
Step 3: Adjust Page Display and Navigate
1. Use the Per Page dropdown menu (options: 10, 50, 100) to change how many transactions are displayed on a single page.
2. Use the pagination controls at the bottom of the page to flip through multiple pages of records.
Step 4: Export the Data 1. To save a copy for offline auditing or spreadsheets, click the blue Export button located in the upper right corner. 2. Select your preferred file format from the menu to download the report.
💡 Note: Reversed or canceled transactions are automatically excluded from the Grand Total calculations displayed at the bottom right of the page footer.
