Aging Payables

Payables Aging Report lists unpaid vendor invoices with date ranges. This is a primary tool to determine which purchase invoices or other payables are overdue for payment.

Purpose of the Report

The primary objective of this report is to track outstanding balances owed to suppliers and understand the duration for which these amounts have remained unpaid.

By analyzing this report, businesses can:

  • Identify overdue invoices that require immediate payment to avoid penalties.
  • Monitor credit periods extended by different vendors.
  • Forecast short-term cash outflows required to settle outstanding liabilities.

Key Components

The report breaks down outstanding balances into specific time brackets based on the days elapsed since the invoice became due:

  • Current: Obligations that are not yet due.
  • 1–30 Days: Invoices that are past due by up to a month.
  • 31–60 Days: Invoices past due by one to two months.
  • 61–90 Days: Invoices past due by two to three months.
  • 91 Days +: Long-overdue accounts requiring critical attention.

Step-by-Step Instructions to Generate and Use the Report

Follow these steps to access, view, and extract the Aging Payables data:

Step 1: Navigate to the Aging Payables Section Locate the main navigation menu on the left side of the screen. Under the REPORTS header, expand the Purchases & Payments sub-menu and click on Aging Payables.

Step 2: Set the Report Date Find the date selection filter labeled As of near the top of the page. Click the date field or the calendar icon to select the specific cutoff date for which you want to review your outstanding payables.

Step 3: Generate the Data Click the Go button situated next to the date input field to update and populate the records according to your chosen cutoff date.

Step 4: Analyze Vendor Summaries Review the report row by row. Each primary row lists a Vendor (such as ABC Corp, XYZ Corp, or Globe Telecom), followed by individual tracking numbers (Purchases No), Date Delivered, Amount Due, and the remaining unpaid Balance. The system automatically breaks down the balance into the appropriate aging column (e.g., Current, 31-60 Days, 91 Days +) based on the Date Due.

Step 5: Review Subtotals and Grand Totals Scroll through each vendor's section to see their specific Sub Total, which summarizes your total exposure to that particular supplier. Scroll to the bottom of the report to view the Grand Total, giving you the collective total of all outstanding company payables segmented by aging brackets.

Step 6: Export the Data (Optional) If you need to analyze this data in a spreadsheet or print a physical copy, look for the Export button located at the upper right corner of the report workspace. Click it to download the document in your preferred format.
